Booking Policies, Payments, and What to Expect When You Travel With Us

By booking a safari tour with Territory Explorers, you agree to the following terms and conditions. Please read them carefully before making your reservation.
1. Booking and Payment
Deposit Requirements
A deposit of 30% or 50% of the total tour cost is required at the time of booking
The remaining balance must be paid no later than 15 days before the commencement of the tour
Full payment is required when bookings are made less than 30 days before the tour begins
Last-Minute Bookings
If a reservation is made within 30 days of departure, the entire amount must be paid at the time of confirmation
We reserve the right not to execute tours if payment has not been received in accordance with these terms
Special Requirements
Gorilla trekking requires a maximum of 12 weeks' advance booking
Children 12 years and below cannot participate in chimpanzee and gorilla tracking activities
2. Confirmations
A booking is considered confirmed upon receiving:
A deposit of 30% or 50% of the travel cost
A signed booking agreement
Completed client information forms
Final payment must be completed 30 days prior to arrival. Failure to make final payment may result in tour cancellation and forfeiture of deposit.
3. Rates and Pricing
All rates are based on fares and costs prevailing at the time of publication
Prices are subject to change without notice due to:
Currency fluctuations
Fuel price variations
Government tax changes
Supplier cost adjustments
Final rates will be confirmed at the time of booking
4. Cancellation Policy

Non-Refundable Items
Gorilla permits are non-refundable under all circumstances
Special permits and licenses cannot be refunded
Third-party bookings with non-refundable policies
Cancellation by Territory Explorers
A full refund will be provided if we cancel due to circumstances beyond our control
Alternative dates or comparable tours will be offered when possible
5. Tour Alterations
Territory Explorers reserves the right to:
Change any route or arrangements should conditions necessitate
Offer substitutes of equal value
Accept or decline the operation of any scheduled tour
Decline to accept or retain any person as a tour member at any time
In the event of tour alterations initiated by us, an equitable refund will be provided for any unused services.
6. Transportation
Vehicle Standards
We provide well-maintained vehicles, including:
4WD safari vehicles with pop-up roofs for optimal game viewing
Land Cruisers for rough terrain access
Toyota minibuses with pop-up roofs for larger groups
Station wagons or coaches for transfers
Vehicle Assignment
Vehicles are assigned according to route requirements and number of participants
We reserve the right to employ subcontractors for transportation services
All vehicles are regularly maintained and inspected for safety
7. Accommodation
All accommodation is subject to availability at the time of booking
We reserve the right to substitute accommodation of a similar standard if necessary
Single room supplements apply where specified
Special dietary requirements must be communicated at the time of booking
8. Health and Safety
Medical Requirements
A valid yellow fever vaccination certificate is required
Malaria prophylaxis is recommended for certain destinations
Travelers must disclose any medical conditions that may affect the tour
Health Insurance
Territory Explorers strongly recommends comprehensive health insurance
Insurance should cover medical expenses and evacuation
Territory Explorers is not liable for costs related to medical emergencies
Physical Requirements
Certain activities require moderate to high fitness levels
Age restrictions apply to specific activities (gorilla tracking, etc.) — we can provide more information on this
Participants must be able to enter and exit vehicles independently; however, we can advise on other options in case one of the travelers is unable to do so
9. Liability and Responsibilities
Our Responsibilities
Provide services as described in confirmed itineraries
Maintain vehicles and equipment to safety standards
Provide experienced, licensed guides
Arrange accommodation and activities as confirmed
Client Responsibilities
Arrive with valid travel documents
Follow guide instructions for safety
Respect local customs and wildlife regulations
Limitations
Territory Explorers acts as an agent for suppliers and is not liable for:
Acts of God, natural disasters, or extreme weather
Political instability or government actions
Supplier failures or service interruptions
Personal injury or property damage beyond our direct control
10. Force Majeure
We are not liable for failure to perform due to circumstances beyond our reasonable control, including:
Natural disasters or extreme weather conditions
Government actions, civil unrest, or political instability
Supplier failures, strikes, or labor disputes
Health emergencies or pandemic restrictions
11. Disputes and Governing Law
Any disputes will be resolved through negotiation or mediation
These terms are governed by the laws of the Republic of Uganda
Any legal proceedings must be initiated within one year of tour completion
12. Privacy and Data Protection
Your personal information will be handled in accordance with our Privacy Policy. We may share necessary information with:
Accommodation providers
Transport operators
Government authorities (for permits and documentation)
Emergency services, if required
13. Special Conditions
Wildlife Viewing
Wildlife sightings cannot be guaranteed
Seasonal variations affect animal behavior and visibility
Alternative activities may be offered if primary attractions are unavailable
Weather Conditions
Tours operate year-round but may be affected by weather
The wet season may limit access to certain areas
Appropriate clothing and equipment recommendations will be provided
Cultural Sensitivity
Respect for local customs and traditions is mandatory
Photography restrictions may apply in certain areas
Appropriate dress codes must be observed

15. Amendments
We reserve the right to amend these terms and conditions at any time. Updated terms will be posted on our website and communicated to existing bookings where applicable.
